75th Anniversary Meeting Minutes

Here are the minutes for the first meeting to put together our anniversary party.  It is our hope to get more people active with this party so it can be a very enjoyable celebration.  Please let me know what nights are better for meetings.  It is our goal to meet once a month to keep the planning active.  We have already received 2-3 stories and pictures are starting to come in.  If anyone has pictures they can send them to Doug Whalen 285 Main Street APT A-2 Farmington, CT 06032 or bring them to the next meeting.  We want to try and get a meeting together the 2nd week of November so please try to get your availability back to me ASAP.  Thank you for your help with this great event.

Discussion:
Special event will be on July 17th 2010 from 6:30pm -11:00pm with the band playing from 7-11.  The event will be on the beach by the volleyball court under a tent.
We will have a swing band (it was discussed that a band would be better than a D.J.). During band breaks have a master of ceremony bring up speakers with prepared speeches on the OCBCA history.
Ticket price is still up in the air- $20.00 was discussed but not set until we get more input.  We do not want to make any money on this event and want to break even.  If we get good response from ads for booklet and good raffle prizes we could use that money to offset the cost of the tickets.  The cost of the tickets will be set once we get an idea of food, tent and band cost.
It will be a BYOB or possibly have wine and beer only ( still open for discussion)
Have horderves or small stations instead of a sit down dinner to keep the cost down.  (Still open for discussion).  Talked about having a kids menu to keep the price down for kids.  A special cake (? OCBCA logo cake) for the event.
Have table decorations that people would be able to take home after the event. Some of the decoration would be sand dollars; small buckets of shells with OCBCA 75th anniversary ribbon, votive candles with OCBCA ribbon are just a few ideas of trinkets to give away.  Tables could be bistro type seating instead of oblong tables to promote more socializing.  If cost is a factor use round tables instead of oblong.
Have a raffle to offset some of the cost of the event.  Solicit donations for baskets from beach family members and businesses in the area.
Have a 75th anniversary booklet, full size, with stories and pictures of the beach, synagogue, church, hurricane and other events experienced in OCBCA.  This booklet will offset some of the cost of the event by securing ads for the booklet.  The booklet will also provide something for every homeowner to have so they can look back at the history of our beach association.  8 ½ x 11 booklet prices around $1200.00 for 500 books.
Booklet ad prices are not confirmed but it was discussed that the front cover inside page, back cover inside page and back cover should be full page color ads at a cost of $250.00 $300.00, full page ads in the booklet $100.00, ½ page ad $75.00 ¼ page ad $50.00, business card ad $25.00 and family ads $15.00 or $20.00 w/pictures in black & White.
Discussed some type of special beach Olympics a week before or some time before the big event to get the spirit during the day and have people enjoy daytime events.  Some of the beach Olympics discussed were:
3-legged race
fill bucket with water from ocean using a sponge
tug of war
hula hoop Frisbee/football toss
beach ball toss or kick
skin board competition
sand castle contest
water balloon toss
fishing in a wading pool for prizes (smaller kids contest)
